Audit the bill before rebuilding. Successful actions can consume tasks at different rates, while several built-in steps, including Filters and Paths, are task-free. When to switch

Switch when a specific constraint survives that audit. For visual maintenance, examine whether Make's routing model makes conditions and fallback behavior easier for your operator to understand. Its router processes branches sequentially, so a visually similar rebuild can still behave differently. Make router documentation.

For technical control, evaluate n8n when custom API requests or a self-hosted deployment solve a concrete requirement. Its paid plans count workflow executions rather than individual steps. Keep n8n's AI costs separate in the estimate. On eligible Cloud Starter and Pro instances, Gateway credits pay for supported model and service requests; Assistant credits pay for building assistance. How to read the shortlist

The shortlist offers three trial routes based on the problem you need to solve. It does not promise feature parity or rank every automation platform. App counts are only a starting filter: verify the precise trigger, action, authentication method, and data fields required by each workflow.

Make is the visual-orchestration route. Inspect the target scenario's data flow and error recovery, then measure its credits. Ordinary operations and AI usage do not always have the same cost. n8n is the technical-control route. Decide between Cloud and self-hosting before selecting code dependencies or estimating maintenance. Cloud does not offer unrestricted library imports; a self-hosted configuration gives you more responsibility for the runtime. Gumloop is the AI-first agent route. Test tool approvals and AI outputs; if visual workflows are needed, also inspect their run reports, saved checkpoints and account entitlement. A generated agent or flow is not proof of reliable unattended operation. Gumloop workflow controls.

Final selection method

Trial one representative workflow before migrating a portfolio. Include its busiest input, a branch that rarely fires, a failed API call, and a duplicate event. Compare completed business outcomes, diagnostic effort, and consumed usage. These are recommended checks; this page does not claim to have run them.

Treat credentials and data as separate migration work. Inventory connection owners, OAuth permissions, webhook addresses, stored records, files, schedules, and knowledge sources. Reauthorize access deliberately and test under the account that will own production. How can I tell whether switching will actually lower my automation bill?

Compare the same completed business outcome at normal and peak volume. Zapier tasks, Make credits, n8n executions, and Gumloop credits are not interchangeable units. Include loops, AI calls, retries, paid data services, and the team's operating time. For Make, hold the credit tier and billing term constant before comparing prices. Do not infer savings by comparing a euro subscription with a dollar subscription or by dividing each plan's headline allowance by its price.

Can I move custom JavaScript or Python into n8n Cloud unchanged?

Do not assume so. n8n Cloud's Code node does not allow arbitrary external npm imports; its documented available modules are crypto and moment. Cloud Python cannot import standard-library or third-party libraries. Self-hosted Python dependencies must be present in the runner image and explicitly allowed. Inventory every dependency and API call first, then choose Cloud, a configured self-hosted runtime, or a separate service for that code.

Does bringing my own AI key eliminate Gumloop credit charges?

No. Gumloop's live credit documentation says BYOK waives supported model charges in Gumloop, while you pay the model provider directly. Agent tool calls and compute still cost credits, and the standard agent orchestration fee becomes 16% instead of 8%, calculated on the run's value including the waived model usage. Workflows have separate base and node costs and no orchestration fee. Check the run breakdown rather than applying older fixed AI-node prices to every workflow or agent.

Should existing Zapier Agents users migrate inside Zapier before trying an alternative?

Inspect the converted Zap first. Zapier documents automatic conversion of agent prompts, tools, and triggers into AI by Zapier, followed by review, testing, and publication. Its guide still lists gaps for some knowledge sources and admin-level model configuration, so verify those dependencies for your account. Turn off the original agent after the replacement is working to avoid duplicate actions; Zapier warns that full-Zap tests can consume tasks.

Will copying a workflow also transfer its credentials and stored data?

Plan separate work for each. A matching diagram does not establish that OAuth access, webhook subscriptions, app permissions, stored records, or knowledge sources have moved correctly. Test the replacement with its intended production owner and reconcile records before switching triggers. Gumloop's workbook permissions also distinguish Editors, who can run a workbook, from Viewers, who cannot; access to a shared workflow is not proof of every permission needed to operate it.

Are team subscriptions priced per seat across these alternatives?

No. Zapier Team lists 25 included users, n8n lists unlimited users with plan-specific shared-project limits, and Gumloop lists unlimited seats and teams. Make offers Teams with team roles and pricing tied to a selected credit allowance. These do not justify labeling the subscription price as per seat. Check credential sharing, editor roles, SSO, audit access, and offboarding on the exact plan; an included user is not a guarantee of identical governance.
