For straightforward app-to-app automation, our starting point is Zapier when its existing triggers and actions cover the job. A form submission that creates a customer record and sends a notification fits its guided workflow approach. Buyers who also need intake forms and working data tables can keep those pieces together: Zap workflows, Tables, Forms and MCP sit within the Zapier platform. Catalog breadth supports that starting point. Zapier advertises 9,000+ apps; Make advertises 3,000+. These are vendor catalog counts. Check the exact trigger, action, custom fields and authentication your process needs before treating an app logo as coverage. Both provide visual builders and AI assistance. Copilot helps create, expand and troubleshoot Zapier workflows; Maia by Make creates, modifies and debugs scenarios through conversation. Switch case

Choose Make first for operations involving lists of items, several destinations and shared follow-up logic. Its Router processes matching routes sequentially. The open-beta If-else and Merge modules select one matching branch and reconnect those conditional branches to a common continuation; a normal Router does not merge this way. Zapier Paths also execute sequentially, but shared actions after all branches require duplication or a Sub-Zap. Make's iterators and aggregators make splitting an order into line items and rebuilding a combined result explicit. Its HTTP v4 module adds native pagination and dedicated credential handling. Zapier can also transform data with Formatter, Looping and code. API by Zapier supports OAuth2 and API-key connections for services without native integrations; API Request actions and reusable Custom Actions cover missing operations in supported apps. AI-heavy work deserves its own trial. Make AI Agent (New), in open beta, runs inside scenarios and can use knowledge and tools such as modules, scenarios and MCP tools. AI by Zapier can use app actions and knowledge sources as tools within a Zap. Zapier is migrating standalone Agents into this task-billed model; existing users should test converted workflows and disable the old agent after a successful cutover. For governed teams, compare actual permissions before choosing a builder. Make Enterprise adds SSO, audit logs and Custom Roles. Zapier Team includes SAML SSO, while Enterprise adds app and action controls. One specific boundary needs testing: Zapier documents that API by Zapier is outside app access controls and allowed-domain rules, and recommends managing it as a managed app. A policy that covers native connectors alone may leave your custom API route outside the intended controls. Pricing tradeoffs

Credits and tasks measure different work, so neither the entry price nor the larger allowance number establishes better value. Make's live and indexed pricing displays differed during research; confirm its checkout currency and applicable offer before comparing it with Zapier's USD pricing. Annual monthly-equivalent prices also require an annual commitment. Price the tier that supports your users, sharing and permissions, then estimate usage for a completed process. A low individual entry price does not establish the cost of a governed team.

Consider an illustrative 100 single-record events followed by two ordinary app actions. If Make executes one charged trigger and two one-credit actions per event, that design consumes 300 credits. The corresponding Zap consumes 200 tasks because its trigger is uncharged. Additional empty polling checks can consume Make credits; Zapier polling is uncharged. Separate building costs from execution costs. Maia interactions can draw from the same credit pool as scenarios after promotional allowances. Copilot interactions do not consume Zapier tasks. For Make agents, using Make's AI Provider adds token-related credits; using your own provider connection on a paid plan leaves Make execution charges while provider usage is billed separately. New AI by Zapier steps use model rates of 1, 3 or 5 tasks for the step and the same rate for each supported tool call. Premium is the paid-plan default: a Premium step making two tool calls uses 15 tasks. Bringing your own model account uses the 1x rate plus your provider bill. Legacy standalone Agents have an activity allowance, but migrated AI by Zapier workflows use platform tasks without a separate Agents subscription; MCP calls use two platform tasks. Decide how overages should behave before a volume spike. Make extra credits carry a 25% premium over the plan's credit rate; automatic purchases come in 10,000-credit blocks. Zapier's pay-per-task rate depends on the account's plan and billing cycle, and its documented maximum is three times the plan allowance including the original allocation. Final checklist

Test recovery alongside successful execution. Make's Retry handler stores a failed bundle for later completion and requires incomplete executions to be enabled. Zapier's custom error handlers turn off Autoreplay for that Zap and suppress the usual error notification emails when the handler runs. Use a pilot appropriate to the buyer lane:

  • For simple app-to-app work, verify the exact native actions, custom fields, polling delay and duplicate prevention.
  • For branching operations, test empty results, multiple matching conditions, large item arrays, shared follow-up steps and API rate limits.
  • For governed teams, test builder and operator permissions, shared connection ownership, offboarding, audit access and the support escalation route.
  • For AI-heavy work, record model choice, tool calls, provider charges, failed outcomes and approval behavior before allowing consequential actions.

Does Make's free allowance cover more work than Zapier's?

The units are different. Make Free includes 1,000 credits, two active scenarios and routers/filters. Zapier Free includes 100 tasks and two-step workflows after the paid trial. Make trigger checks can consume credits even without new data; Zapier triggers do not consume tasks. Estimate your actual workflow.

Can both platforms merge branches into one shared action?

Make's open-beta If-else and Merge modules can select one conditional branch and rejoin its output. A normal Make Router cannot merge this way. Zapier Paths require duplicated common steps or a Sub-Zap for shared follow-up work. Both vendors document sequential execution of their ordinary routes or paths.

Does AI-assisted building use the same allowance as running workflows?
