Start with a horizontal platform when your main problem is coordinating work across applications: evaluate n8n for technical control, Make for visual process design, and Zapier for app-centered automation. Start with Gumloop when the purchase centers on agents working across tools. Start with Clay for go-to-market research and enrichment, or HubSpot Workflows when customer records and CRM processes define the job. These are editorial routes, grounded in the product boundaries below—not a universal ranking.
Choose the platform your team can maintain after the original builder leaves. An attractive demonstration is insufficient if nobody owns failed runs, credentials, record conflicts or the bill.

No-code removes some programming work; it does not remove data modeling. Ask the prospective maintainer to explain what happens when an email address is absent, a lookup returns several records, or an external request succeeds but its response is lost.
If your shortlist is already narrower, use n8n vs Make for technical control versus visual process design, or Make vs Zapier for cross-app automation. Use Gumloop vs n8n when agent-centered work is the dividing line, and Clay vs HubSpot when GTM research and CRM ownership are the competing needs.
Decide where logic, agents and approvals belong
Keep explicit rules for known business policy: required fields, record identity, eligibility and destinations. Use an AI step for bounded interpretation, such as extracting a request from a message. Give an agent tool-selection freedom only where the route cannot be specified usefully in advance. This is a design recommendation, not a claim that any platform makes AI outputs deterministic.
The feature boundaries matter. Make labels Make AI Agents beta. Gumloop's pricing emphasizes agents and labels workflow functionality “Workflows (Legacy).” Clay documents a fixed workflow graph with judgment inside Claygent steps or AI conditions; its Workflows feature requires workspace enrollment in open beta. For Zapier, evaluate AI by Zapier inside Zaps as the current agentic route. Its migration documentation describes task-based billing without a separate Agents subscription for that route, plus looping tool calls. Review migrated behavior rather than assuming every old interaction transfers unchanged. Agents migration.
Separate approval to publish an automation from approval to execute an action. Zapier documents both publishing controls and a configurable approval requirement before particular tools run. n8n documents human review for AI tool calls through supported nodes. For Gumloop, instructions asking an agent to confirm are not sufficient evidence of an enforced gate: its custom MCP documentation says approval prompts are unavailable on that integration path. For Make, Clay and HubSpot, require a demonstration of the exact pause, reviewer identity, rejection and timeout behavior your process needs before counting approval as solved. Choose the hosting and governance responsibilities
If running the orchestration service yourself is mandatory, evaluate n8n's self-hosted route explicitly. Its commercial offering also includes vendor-hosted Cloud. n8n uses fair-code licensing; source availability should not be interpreted as unrestricted permission to resell hosted access. For self-hosting, budget an owner for upgrades, backups, recovery, secrets, capacity and incident response. Treat those as operating costs even if the software entry route has no subscription fee. Self-hosting the orchestrator also does not make an external AI or enrichment call local.
Make identifies vendor-hosted infrastructure; its on-premises agent connects local networks and is not a self-hosted replacement for the service. Gumloop lists an optional enterprise virtual private cloud route. HubSpot delivers its CRM through a cloud service. Do not infer equivalent deployment control from a custom enterprise label. For every candidate, ask who can edit logic, use shared credentials, publish changes and inspect execution history. Check these against the actual subscription. For example, Clay places SSO and role-based access control in Enterprise, while HubSpot distinguishes workflow editing from publishing permissions. Clay plan boundaries, HubSpot permissions.
Keep a source of truth and combine platforms deliberately
An integration logo does not prove support for your required trigger, write action, authentication method or recovery path. n8n lists custom API requests; Make offers custom apps; Zapier includes webhook access on paid routes. Clay's HTTP integrations and HubSpot's custom-code and webhook actions have subscription boundaries. Verify the specific connection before choosing. n8n, Make, Zapier, Clay, HubSpot actions.
Illustrative architecture: a company uses Clay to research incoming accounts, keeps approved customer status in HubSpot, and uses a horizontal platform to coordinate a billing-system handoff. This division fits Clay's GTM enrichment and CRM integration role and HubSpot's record-based workflows. It is a proposed design, not a tested deployment. Clay capabilities, HubSpot workflows.
In that design, assign each field an authoritative owner. Research may propose an industry classification; it should not silently overwrite a salesperson's approved lifecycle status. Carry a stable record identifier across systems and decide which layer retries a failed handoff. Domain-native software complements horizontal orchestration when each owns a distinct responsibility.
Conversely, a process consisting only of CRM enrollment and assignment may not justify another orchestration subscription. A document-handling process with no GTM data requirement has little reason to acquire an enrichment platform. Follow the business boundary before adding another canvas. Compare the cost of the same process
Compare a completed business outcome, including exceptions, rather than the number of boxes on a canvas. Keep these meters separate:

Illustrative assumptions only: suppose you receive 1,000 requests monthly and 10% need another processing attempt. Start the worksheet with 1,100 attempts, then map the actual actions and AI calls separately for each candidate. These are invented planning inputs, not vendor quotas, billable-unit conversions or measured results. Approval waiting time, duplicate prevention and recovery effort belong beside the usage estimate.
Complete a buying worksheet
Before committing, fill in these blanks for the same representative process:
- Outcome: what record or deliverable counts as successful completion?
- Authority: which system owns each field, and which credentials can change it?
- Builder: who maintains the logic, and where will code or API expertise be needed?
- Judgment: which steps use fixed rules, bounded AI or agent-selected tools?
- Approval: which action pauses, who decides, and what happens after rejection or silence?
- Recovery: how are duplicate events, expired credentials and partial completion handled?
- Entitlement: which deployment, edition and feature availability are required?
- Budget: which shared pool, seats, provider invoices and operating costs fund the process?
Choose the route whose ownership and exception handling you can explain clearly. Then investigate n8n, Make or Gumloop according to the boundary that remains unresolved.

Common questions
Can I keep a horizontal platform after adopting Clay?
Yes, if it owns a separate process boundary. Clay's pricing documents GTM enrichment and CRM integrations, while its Workflows feature orchestrates record-level plays. A reasonable design keeps research in Clay and unrelated cross-system handoffs elsewhere. Assign field ownership and retries explicitly so both platforms do not compete to update the same record.
Should I exclude Clay entirely if my company prohibits beta features?
The documented open-beta boundary applies to Clay Workflows, not to Clay as a whole. If your intended design requires Workflows, that policy blocks that design unless an exception is granted. Evaluate other Clay functionality separately rather than treating the parent product as beta.
Which AI workflow automation platform should a small team evaluate first?
Start with the process and its future maintainer, not team size alone. Our editorial starting point is Make or Zapier for cross-app business processes, n8n when a technical owner needs custom logic or deployment control, and Gumloop when tool-using agents are central. Evaluate Clay for GTM research and HubSpot Workflows for CRM-native work. Shortlist two and map the same representative process before buying.
When is HubSpot Workflows enough without another automation platform?
It may be enough when HubSpot records own the process and your subscription provides the required enrollment rules and actions. Adding a horizontal platform is more compelling when a specific external integration, custom logic or recovery requirement remains unmet. Check the exact Hub, edition, action and permission boundary; an existing HubSpot subscription alone does not prove every workflow is available.
Is a Gumloop agent told to ask permission equivalent to an enforced approval step?
Do not assume equivalence. Gumloop documents confirmation instructions for agents, but its custom MCP documentation states that approval prompts are unavailable on that path. For a consequential write, demonstrate the exact integration's enforcement or keep the write behind a separately controlled human step.
When should an AI workflow use an agent instead of fixed rules?
Use fixed rules for known business policy and a bounded AI step for interpretation. Consider an agent when useful tool selection cannot be specified in advance, but constrain its permissions, spend and consequential writes. This is an editorial design rule, not a claim that an agent is more reliable. Test partial completion and approval behavior before giving it write access.
